What data is collected
When you submit the booking or contact form, the site collects the name, email address, preferred appointment times, and any description of your situation that you choose to provide. The same fields are used whether you are asking a short question or requesting a full first consultation, and you decide how much detail to give at that stage.
During consultations, additional information may be recorded in session notes, including health information you disclose. If you send documents such as test results by email, those are stored with your client records, so your plans and follow-up appointments are prepared from the same picture rather than from memory.
Given at booking
Name, email address, preferred appointment times, and the description of your situation you choose to write. Nothing beyond these fields is required to send a request.
Recorded during consultations
Session notes, meal plans, and any health information you disclose while we work together. Documents you send by email, such as test results, are filed with these records.
Why the data is processed
Every record on this site exists to run a consultation, not to build a profile for anyone else. Data is processed to arrange and hold consultations, to prepare personalized meal plans and session notes, to reply to your questions, and to keep records of the counseling relationship.
Health-related information you provide is used only to deliver the service you requested. It is not used for marketing, not added to any mailing list you did not ask for, and not sold.
What this means in practice
- Booking and scheduling. Your name, email, and preferred times are used to confirm a consultation slot and to tell you if anything about it changes.
- Plans and notes. Session notes and meal plans are written so follow-up appointments continue from your last one instead of starting again.
- Answering your questions. Messages sent through the contact form are read and answered by the practice, and are kept only while the conversation is relevant.
- No marketing use. Your contact details are not passed to advertisers and are not used to send you unrelated offers.
Legal basis and retention
Why we are allowed to process it
Processing is based on your consent when you submit a form or book a consultation, and on the performance of the service agreement between you and the practice.
For health-related information, processing relies on your explicit consent and on the provision of health-related services by a practitioner bound by confidentiality. You can withdraw that consent at any time for future processing, though it cannot undo work already carried out.
Consent is the reason a form can be sent at all. If you would rather not share health details in writing, say so when you get in touch and the first appointment can be arranged without them.
How long records are kept
Client records, including session notes and plans, are kept for as long as needed to provide follow-up consultations and to meet professional and accounting obligations, after which they are deleted.
Contact form messages that do not lead to a consultation are deleted within a reasonable period. That includes questions answered once and then closed without an appointment being booked.

Sharing is limited to what running the practice requires, and nothing leaves your file for marketing.
Sharing
Data is not shared with third parties for marketing. It may be processed by service providers that support the website, email, or booking process, strictly to the extent needed to operate them. Those providers work under instructions from the practice and do not receive more than the task requires.
Information may be disclosed where required by law. With your consent, a summary of recommendations may be shared with your doctor, which is often practical when a general practitioner has referred you and wants to know how the plan is going.
Your rights
You can request access to the personal data held about you, ask for corrections, request deletion, or withdraw consent for future processing. Requests should be sent to the email address on the contact page. You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate.
Write from the email address you used with the practice where possible, and say what you would like changed. Requests are answered during working hours, Monday to Friday, 9:00–18:00.
Access your data
Ask what is held about you and receive a copy of the records, including session notes and the details sent through the forms.
Correct what is wrong
If a plan or a note records something inaccurately, tell the practice and the record is updated rather than left to stand.
Request deletion
Ask for records to be removed. Some accounting entries must stay for the statutory period, and that is explained in the reply.
Withdraw consent
Stop future processing at any point. Withdrawal applies going forward and does not affect what was already done lawfully.
